How To Run An Exhibition
The cost of hiring out popup banners and other exhibition equipment can amount to more than hiring out the venue. If your company is planning to run regular exhibitions, it may be a good idea to start thinking about ways in saving money for things like equipment hire. This is all part of the planning process, whereby you can think about what is top on your list of priorities as well as cutting back on the things that may not be needed.
First step into organising an event or exhibition is to devise a plan of action. This will act as a checklist towards the end of the event and give you chance to prepare everything well in advance. Therefore, before you start ordering popup banners and light boxes, you should consider booking the venue. Finding the right venue can be a time consuming activity, so you will need to make sure that you have pre-booked this several months in advance.
You may decide to have your exhibition outside, at a museum, studio, gallery, business centre or at the shop front. This depends on what you will be holding the exhibition for, so if it is for building up a good client base then you should consider holding it at a well-known business centre or hall. Different exhibitions are held at specific places, because it suits the theme of the exhibition.
Take for example job recruitment fairs, these have many companies taking part with reps standing at the front of their popup banners. This is themed that it stands out to young graduates, with companies looking to advertise their services and brand name. They also give the graduates a step in the right direction to a prosperous career.
Once you have found the venue for your exhibition, you should then calculate your budget and make a record of all of your expenditure. This should be done with other people and should not be completed by just one person (unless they have a strong financing background). You may encounter some hidden extras with the costing of the exhibition; therefore, to avoid problems you should seek assistance when completing this.
You should then start to develop your planning into action. Once you have a stable checklist, budget plan and venue in place, you should then begin to prepare all of your publicity materials, exhibition equipment, brand logos, products to be put on display, work preparation to show at the exhibition and organising any workshops that you may hold on the day of the event.
